Using the Donations Tab and Creating Custom Reports in Giving
Step-by-Step Guide to Using the Donations Tab
The Donations Tab provides a detailed list of all transactions made to your organization, including approved and failed donations. You can generate reports based on specific criteria to assist with financial tracking, administrative reporting, and donor management.
Step-by-Step Guide to Using the Donations Tab
1. Accessing the Donations Tab
- In your Organizational Dashboard, select the Donations Tab to view all transactions.
- This section contains a list of all donation transactions, including their status and details.
2. Using Search Filters to Generate Reports
You can filter donation records using the following four criteria:
-
Status – Filter transactions by status:
- Approved – Successfully processed donations.
- Pending – Donations still being processed.
- Failed – Transactions that were unsuccessful.
-
Fund – View donations made to a specific fund (e.g., Missions Fund or Building Fund).
-
Payment Method – Filter by donation type:
- Credit Card
- ACH Bank Transfer
- Cash or Check
-
Date Range – Search for transactions within a custom time frame (e.g., January 1st – February 8th).
3. Cross-Referencing Search Filters for Advanced Reports
You can apply multiple search filters at once to create detailed custom reports.
Example 1: View Donations for a Specific Fund
- Select a fund (e.g., Missions Fund).
- The system will display all donations made to that fund.
Example 2: Filter Donations by Date Range
- Select a start and end date (e.g., January 1st – February 8th).
- View all donations made within that period.
Example 3: Generate a Report for Approved Donations Only
- Select Status: Approved to exclude pending or failed transactions.
- Apply additional filters such as Fund and Date Range for more refined data.
4. Exporting and Sharing Reports
- Once filtered, you can export the data into CSV, Excel, or PDF format for financial tracking and reporting.
- Reports can be shared with administrators, finance teams, or church leadership.
Best Practices for Donation Reports
✅ Use filters effectively – Combining multiple search criteria helps generate more detailed reports.
✅ Regularly track failed transactions – Identify and follow up on unsuccessful donations.
✅ Save time with preset reports – If you frequently need the same report, use consistent filters for easy access.
